Cancel or reschedule a booking

Both you and your customer can change a booking. What differs is how late each of you can do it.

From the admin

Go to Bookings, find the appointment and use the actions on its row. You can cancel it, reschedule it, or mark it as a no-show.

You are not bound by the cancellation window — that limit applies to customers. From the admin you can change a booking at any time, including one that has already started.

The customer is emailed automatically when you cancel or reschedule. You do not need to message them separately.

From the customer's side

A customer who booked with an email address can manage the booking themselves from their account area, without calling you. What they can do is bounded by two settings under Settings → Booking:

  • The cancellation window — how many hours before the start they may cancel.
  • The reschedule window — the same, for moving it.

Outside those windows the buttons are not offered and they have to contact you. The setting stops a 07:00 appointment being cancelled at 06:55, while still letting people who give you fair notice sort themselves out.

What happens to the slot

When a booking is cancelled or marked as a no-show, the time is released immediately and becomes bookable again.

Reopening a cancelled booking is the one case that can fail. If someone else has taken the slot in the meantime, Rantevo refuses rather than double-booking you. Reschedule it to a free time instead.

Recurring bookings

For a repeating appointment you can skip a single occurrence or cancel the whole series, and you are asked which you mean. Skipping one leaves the rest intact.

Payments

Rantevo does not take payments, so there is nothing to refund through it. Cancelling a booking is a calendar action; any money that changed hands is between you and the customer as it always was.
